The Opportunity

Database Administrator – Raiser’s Edge will work as part of One Team, supporting resource development programming as well as assisting other departments at Habitat Canada. This will be a one (1) year contract position.

The incumbent will report to the Lead, Data Management & Analytics, One Team and will be primarily responsible for implementation of ongoing and ad hoc projects related to timely gift and constituent data processing, production of donation receipts and acknowledgement letters, daily administration of the Raiser’s Edge and Luminate Online databases and providing customer service to Habitat Canada donors.

Additional responsibilities include importing and exporting donor and gift information, managing gift and constituent coding systems, maintaining accuracy and integrity of data in Raiser’s Edge and Luminate Online, financial reconciliation in collaboration with the Finance team, as well as production of fundraising reports and mailing lists in support of direct response operations. Database Administrator – Raiser’s Edge serves as a subject matter expert and provides Raiser Edge NXT training for One Team and other teams using the database.

Key responsibilities

60% of Responsibilities:

Data Processing

  • Manage Habitat Canada’s relationship with a company providing gift processing services and support all related data import, donation receipting and donor services procedures.
  • Using a number of data entry and import technologies, process donor and gift information from a variety of sources into the Raiser’s Edge database.
  • Produce donation receipts and acknowledgement letters and arrange delivery of the gift acknowledgement correspondence to donors.
  • Manage gift processing and donor relations for Habitat Canada’s monthly giving program, which includes scheduled processing of monthly credit card and debit donations, creating and updating monthly gift records and recurring gift batches, handling donor inquiries and producing consolidated donation receipts as well as onboarding communication with new monthly donors.
  • Preprocess data in the Excel format for importing into Raisers Edge via the ImportOmatic tool as well as develop ImportOmatic data import profiles, if needed.
  • In collaboration with Finance, conduct a monthly reconciliation of gift information and prepare reports and import files, as required, as well as support annual financial audit activities.

15% of Responsibilities:

Customer Service (internal and external)

  • Handle various donor inquiries (mostly related to their gifts and donation receipts), converse in a professional manner with donors by telephone to accept donations and process changes to donor information (address, donor preferences).

10% of Responsibilities

Support of Resource Development Operations

  • Provide training, support and guidance to Raiser’s Edge database users across Habitat Canada.
  • Support administrative and resource development operations by providing information about donations, donors and receipting to Finance and management as well as resource development staff.
  • Conduct segmentation, data export and cleaning, as well as import of back feed files in support of the National Direct Marketing program.
  • Prepare monthly and ad hoc donation and donor stats and analytics to support One Team’s planning and reporting.

15% of Responsibilities:

Database Maintenance

  • Implement daily administration of Raiser’s Edge NXT and Luminate Online databases, including user account management and other duties listed below.
  • With the direction of the Lead, Data Management, examine and cleanse donor data records to maintain overall data integrity and the accuracy of data imported into the database by eliminating duplicate records and inconsistent data.
  • Run global data changes to the database as required or requested by management.
  • Maintain the control/code table including appeals, funds, and campaigns in consultation with direction from the Lead, Data Management.
  • Together with accounting staff, ensure that financial data relating to donations recorded in Raiser’s Edge is accurately reflected in the accounting records.
  • Advise on better data management procedures and solutions; update the user training manual, when requested.
  • Perform other duties and tasks as assigned.


  • Intermediate or higher experience in administration of Raiser’s Edge donor database and in data management support of fund development operations - minimum 3-year experience.
  • Hands-on experience with Luminate Online and ImportOmatic, or similar online fundraising and data import systems.
  • Strong skills in manipulating data in Excel spreadsheets, including working knowledge of pivot tables.
